Mailroom Coordinator

Alliance Defending Freedom is looking for a highly service-oriented Mailroom Coordinator to join us in our Scottsdale, AZ Office. As the Mailroom Coordinator, you are a vital part of the Operations Team. In this role, you will report to the Facilities Manager at the ADF Scottsdale location and are responsible for maintaining the highest standard of quality regarding all mailroom activities. Responsibilities include maintaining inventory of office supplies in the supply area for the Scottsdale team, stocking copy paper and supplies in all copy rooms, and facilitating all shipping & receiving activities.  The Mailroom Coordinator conducts daily US Mail screening and sorting for all departments, as well as processing outgoing US Mail.  The Mail Room Coordinator will be required to learn, utilize, and maintain all Mail Room equipment and machines.

Your Essential Responsibilities:

In this position, you will:

Mailroom Duties:

  • Maintain Mail Room service hours 7:30 am – 4:30 pm Monday – Friday
  • Daily USPS mail screening, sorting, and distribution adhering to security protocol in mail handling (1000+ pieces per day)
  • Process outgoing US Mail and packages, utilizing postage meter
  • Daily receipt of inbound package deliveries, screening, and distribution, adhering to security protocol for shipment handling
  • Prepare outgoing UPS shipments daily ranging in size up to 100 lbs
  • Responsible for postage meter maintenance and meter supplies, as well as shipping supplies used by Mail Room
  • Assist Team Members with applicable shipping options and costs
    Coordination and planning of large shipments, both domestically and internationally
  • Responsible for coordinating and managing large US mailings on occasion, providing customer service
  • Responsible for inventory, ordering, and organizing supply areas for the team
  • Main point of contact for our office supply vendor
  • Utilize the service desk for requests from the team pertaining to mailings and supplies
  • Maintain mailroom records and create reports as requested by Operations leaders
  • Interview and select mailroom vendors, negotiating in ADF’s best interest
  • Improve processes and procedures for efficiency and to provide excellent customer service

ADF Scottsdale Campus Duties:

  • Stock and organize all campus copy rooms, including maintaining copy room paper supply
  • Point of contact for document shredding vendor, monitor shred bins, and weekly capacity/usage
  • Stocking of break room coffee and supplies
  • Point of contact for break room vending machine vendor
  • Monitor Print House shipping site, collect and ship jobs as they are completed
  • Assist with facility duties on occasion and serve as a backup when the Facilities Assistant is on PTO

Other Responsibilities (Non-Essential):

  • You will be asked to perform related duties or special projects as assigned

Skills you need to succeed:

Knowledge of:

  • General office equipment (copiers, fax, printers)
  • USPS requirements, overnight shipping services, and use of Pitney
  • Bowes metering equipment
  • Hand tools and some maintenance skills are a plus
  • Warehouse experience helpful

Demonstrated proficiency in:

  • Microsoft software including Word, Excel, and Outlook
  • Excellent communication skills, both verbal and written

Ability to:

  • Lift packages 50 pounds minimum, utilize a hand truck and pallet jack
  • Work with minimal supervision and direction
  • Flexible and able to work in a fast-paced environment with changing demands
  • Work occasional overtime
  • Be a strong Team Player
  • Utilize strong organizational skills

Education and/or experience:

  • Customer Service Experience
  • Previous mailroom experience is preferred
  • H.S. Diploma, Associate degree, or some college preferred

  • Valid Driver’s License
